Bookstore Management & Online Ordering System
Chapters & Co., an independent bookstore chain with three locations, needed a unified web application to manage their inventory across all branches and offer customers the ability to browse, search, and order books online. We built a custom PHP application with a MySQL backend that serves as both an internal management tool and a customer-facing catalog.
Challenges
- Inventory was tracked manually in spreadsheets across three separate locations, leading to frequent stock discrepancies and overselling.
- Customers had no way to check book availability online, resulting in wasted trips to the store and missed sales opportunities.
- The staff needed an admin interface simple enough for non-technical employees to add new titles, update prices, and process orders.
- The system needed to handle a catalog of 15,000+ titles with fast search and filtering by author, genre, ISBN, and availability.
Our Solution
- Developed a normalized MySQL database schema to track inventory across all three locations with real-time stock synchronization.
- Built a responsive customer-facing catalog with full-text search, genre filtering, and location-based availability checking.
- Created an intuitive admin dashboard using Bootstrap with role-based access for store managers and staff, including bulk CSV import for new titles.
- Implemented a shopping cart and checkout system with order confirmation emails and in-store pickup scheduling.
- Added ISBN barcode scanning support via the admin panel, allowing staff to quickly look up and update inventory using a handheld scanner.
Results
- Inventory accuracy improved from 78% to 98% within the first month after migrating all three locations to the centralized system.
- Online book searches averaged 1,200 per day within three months, with 18% of searches converting to in-store pickup orders.
- Staff time spent on inventory management was reduced by 65%, freeing up hours previously lost to manual spreadsheet reconciliation.
